Managing Point Transfers

A point transfer is any time points are earned or spent by a customer.

Points transfers can be automated or manual depending on your preference for level of control. For example: If a store administrator wants to ensure a customer who receives points for writing a review only does so if the review is valid and does not violate the website’s policies, they can set the initial transfer status to Pending: Approval and then manually approve the points transfer after approving the review.

Initial Transfer Status

In the MageRewards configuration screen, you'll be able to specify what status points should be in when initially transfered. You'll have three options:

  • Approved - The points transfer will be instantly approved.
  • Pending: Approval - The points transfer will need to be manually approved by a store administrator.
  • Pending: Event - The points transfer will be approved when an associated event happens (e.g. a completed order or approved review).

Point Transfer Statuses Defined

As found in  Rewards > Customer Points > Points Transfers > Manage Transfers.

  1. Cancelled - Only pending points transfers can be cancelled. (If the points transfer was already approved, you will need to create a new points transfer with negative quantity instead.)
  2. Approved - The transfer has been completed and the customer's active point balance will reflect the adjustment.
  3. Pending: Approval - The points transfer will need to be manually approved by a store administrator.
  4. Pending: Event - The points transfer will be approved when an associated event happens (e.g. a completed order or approved review).
  5. Pending: Time - If a rule is created where the points are set to be On Hold, they will show as Pending: Time on the Points Transfer screen. The On-Hold is not actually a point transfer status, but if the status is set to Pending:Event and an On-Hold period of time is set then the transfer will be automatically Approved when that time passes.

Modifying Existing Point Transfers

You can't cancel a positive points transfer that has already been APPROVED or change the points quantity amount. Only if a positive points transfer is PENDING or ON HOLD, can you actually cancel it.

You can however, revoke the points if they have already been APPROVED. This action creates a separate, linked points transfer that is equal to the negative points amount, thereby creating a NET result of 0 points. MageRewards does this instead of allowing points to be cancelled so that customer points balances never go below 0 points.

Removing points from the customer

There are two ways to revoke points from a customer:

  1. IF the customer received points due to a bad transfer you can revoke or cancel the points that the customer received for that transfer.
  2. IF there are more complicated factors, or you're not sure how the customer acquired the points, or it doesn't make sense to create a revocation, just create a new transfer in the Manage Transfers Section and specify that you want to remove points (instead of giving points). Be sure to be verbose in your comments explaining why the customer lost the points to avoid confusion and angry customers.
